This policy initially took effect on 25th May 2018 in line with the GDPR regulations.
It has been reviewed and, as of 31st December 2020, it is in line with the UK GDPR and Data Protection Act 2018.
Any overseas data processed prior to to this date is subject to EU GDPR. In future, SCCs (Standard Contractual Clauses) can and will be created to enable data to continue flowing between ourselves and our overseas (including EU) clients. This is advised by the ICO (Information Commissioner's Office).
Purpose
If you have attended one of our training events or worked alongside us in schools/settings, you will know that our core value at Single Steps Learning Ltd is to engage safely, fairly and fully in all areas. The purpose of this policy is to ensure that we are open about the data and information that we collect, how it is used by us, how your privacy is maintained and the rights of our clients, including participants on training events, schools and settings, along with website visitors.
In particular, we would like to state that we never trade, rent or sell email lists with other companies and businesses for marketing purposes.

Online Learning Platforms and Training Events (New for 2020)
We carefully research the privacy policies of all the learning platforms that we utilise within our training events.
Padlet: We have our own Padlet Briefcase account which is a private, more secure version.
Our online training events may include video conferencing or webinars. Recording of sessions is not a normal occurrence and would not take place without full permission from all participants prior to the session. All participants will be reminded about data protection at the beginning of every session.
We make use of an online tool called Mentimeter that provides remote polls, word-clouds, surveys and quizzes. You will not usually be asked to enter your name. However, your IP address will be noted by Mentimeter in accordance with their privacy policy.
Register of Attendance
- Signature against name and school/setting. This is shared with the organisation that has engaged our services. It is also required for ‘Fire Regulations’ in most venues.
Participant Information
- Name, preferred email and telephone details, place of work, work details.
- The information is recorded in a contacts database on an encrypted computer. Any device (mobile phone) that has access to contact details is protected with a 2-factor verification process.
- This information is only used by us at Single Steps Learning.
- Paper copies are shredded when the information has been added to the database.
- Participants have the option to complete this form in part or whole. An empty ‘consent’ box is included in the footer, along with a link to this ‘Privacy Policy’.
Community Contact
- Name, preferred email and telephone details, place of work, work details.
- The information is recorded on a chart and emailed to the participants in the training event cohort. It is never passed on to anyone else - individual or organisation.
- The electronic ‘mastercopy’ is stored on an encrypted computer.
- Paper copies are shredded when the information has been added to the chart.
- Participants have the option to complete this form in part or whole. An empty ‘consent’ box is included in the footer, along with a link to this ‘Privacy Policy’.
Photographs
- Photographs are taken during a training event to record the ‘learning process’ as a way of giving visual feedback to the participants.
- Participants are invited to give consent for photographs to be taken. If consent is not given by an individual, photographs of that individual will not be taken. If, in error, they are in the background of a photograph, this image will be deleted or cropped as soon as this error is discovered.
- Names are never recorded against photographs.
- Photographs are only shared during the event they are depicting, unless further consent has been given for a specific purpose.
- The photographs are stored on an encrypted computer and backed up on an external secure password protected drive.
Other Training Event Forms
- During training events, participants may be invited to complete documents that request the addition of their name and place of work. For example, a feedback form for the training event. This information will only be used (and attributed) if consent has been given.

- Name of the individual responsible for engaging our services will be included, along with contact details.
- The documents are stored on an encrypted computer and backed up on an external secure password protected drive.
- Paper copies are currently stored in a locked, secure area for accounting purposes. By April 2019, only digital versions will be created.

- Children’s first names will be collected in order to form groupings for the project.

Photographs
- With full permission and consent from the individual school, photographs, video and audio clips are taken throughout the project.
- Each school holds copyright for the above, as well as explicit permission from parents/carers. Each school must complete a consent form before the project begins, clearly indicating which children can and cannot be included in photographs.
- The photographs are used in the following ways: on a smartboard to talk to children about learning; in an iMovie to share at the Family Engagement Events; uploaded to the Project Website, included in a Project Photobook.
- Copies of all photographs and iMovies will be given to the school at the end of the project.
- Names are never recorded against photographs.
- The photographs/clips are stored on an encrypted computer and backed up on an external secure password protected drive.
Project Website
- This is a ‘public’ website created using Weebly or Google Sites.
- Search Engine features are disabled for pages that hold photographs.
- Project Websites are not indexed by search engines.
- Each school must complete a consent form for the creation of a Project Website where children’s photographs are uploaded. Each school must have the required permission of parents/carers.
- Names are never recorded against photographs.
- The name of the school will be included on the website.
- The project website will remain ‘published’ and ‘accessible’ until a school requests that it is closed or until we deem it is now not necessary for the website to be continued.
- Links to the website may be shared by the school and Single Steps Learning using social media accounts or during ‘training events’.

Project Photobook
- An optional element to a project is the generation of a photobook. This records the learning process.
- The photobook is not for sale and limited copies are created - one copy for each class involved, one copy for the school and one copy for Single Steps Learning.
- Single Steps Learning will never pass or sell the book on to anyone else. The book will only be used to demonstrate learning experiences during a project or training event.
- Photobox (previously Bonusprint/Albelli) are used to create the photobook. We use a password protected account to upload the photographs. As soon as the book has been printed, the Photobox account will be deleted. This ensures that all of the data held by Photobox is removed permanently. www.photobox.co.uk/privacy-policy

All of our devices (MacBook Pro, iPad and iPhone) are produced by Apple. The security of each device is our priority. We have taken advice from Apple and ensured the devices are encrypted, protected by multi-factor authentication and have passcodes of at least 6 digits.
